The PTA President...
- Runs all PTA meetings
- Is an unofficial member of all committees except the Nominating Committee
- Provides leadership for PTA members, delegates responsibilities to other PTA members,
and encourages participation by all parents in all parent activities
- Appoints chairs of PTA committees other than standing committees (subject to
approval of the Executive Board)
- Meets regularly with the Executive Board members to plan the agendas for the
General Meetings
- Serves on the School Leadership Team
- Attends or assures PTA representation at all regular meetings of the
Presidents’ Council / Parents’ Advisory Council, ensures PTA representation
on PTA committees within Instructional Division 8, and sends a representative
to external meetings as needed
- Is one of the signers for PTA checks
- Helps transfer the PTA records to the incoming Executive Board in June
- If there are Co-Presidents, duties are shared - only one would preside over a
meeting where both are present
The PTA First Vice-President...
- Assists the President or Co-Presidents
- Assumes the President’s duties in her/his/their absence or at his/her/their
request
- Is one of the authorized signers for checks
- Helps with the June transfer of PTA records to the incoming Executive Board
The PTA Second Vice-President...
- Assists the President or Co-Presidents
- Helps with the June transfer of PTA records to the incoming Executive Board
- Traditionally serves as a member of the School Leadership Team
The PTA Treasurer...
- Is responsible for all financial affairs and funds of the association
- Maintains an updated record of income and expenditures
- Is one of the authorized signers for PTA checks
- Adheres to and implements all financial procedures established by the PTA
- Presents and provides copies of financial reports at all PTA meetings
- Prepares and provides the January and June annual accounting reports
- Makes available all books or financial records (on school premises) for viewing
by PTA members on request
- Makes all books or financial records available to the Audit Committee
- Prepares all financial records and helps with the June transfer of PTA records
to the incoming Executive Board
The PTA Recording Secretary...
- Maintains the official record of the proceedings and actions of all PTA
meetings, including keeping copies of all notices, agendas, sign-in sheets and
materials distributed at meetings
- Prepares and reads the minutes of each association meeting
- Makes the minutes available to all PTA members
- Prepares and distributes the agendas for PTA Executive Board and General
Meetings
- Maintains custody of the association’s records and reports (kept on school
premises)
- Signs and incorporates all amendments into the bylaws
- Ensures that copies of the current bylaws are on file in the Principal’s office
- Helps with the June transfer of PTA records to the incoming Executive Board
The PTA Correspondence Secretary...
- Reviews, maintains, and responds to all correspondence regarding the PTA
- Helps with the June transfer of PTA records to the incoming Executive Board
- Chairs the Communication Committee, which produces the PTA newsletter,
annual Parent Handbook, Who’s Who at PS 261, the school website, the
Calendar and Executive Board email lists, and other parent communications
The PTA Member-At-Large...
- Has full voting rights on the Executive Board and may fill any committee
leadership role voted upon by a majority of the Executive Board
The PTA Grade Representative...
- Serves as a liaison between the PTA and the grade he/she represents
- Coordinates class parents in the grade represented
- Facilitates class lists for the grade represented
- Coordinates parent volunteers for the grade represented
- Reports from time to time as needed at Executive Board and General Meetings
- Grade Representatives for Kindergarten and Pre-Kindergarten are usually
elected in September to allow parents new to the school to participate
